Documents Required for Car Transportation in India

Prepare the records that identify your car and authorise its handover. Check any registration or ownership formalities separately with the relevant authority.

Before you get started

  • Request the checklist for your actual booking.
  • Check RTO formalities separately with the authority.
  • Protect originals and retain both handover records.

Ask for the checklist before collection

Give the provider the vehicle details, route and reason for moving it. Explain whether it is personally owned, company-owned, financed, newly purchased or being sold. The team can then identify the documents it requests for that booking. A generic list passed between customers may miss the detail that matters for your situation.

Create a folder for the accepted quotation, vehicle records, pickup and delivery contacts, payment receipts and handover documents. Label it with the booking reference so the sender and recipient can find the correct version. Resolve a mismatch in names or registration details before the car leaves.

Common records to discuss with the provider

A readable registration certificate copy helps match the car and its registered owner. The provider may request sender identification, insurance information and written authorisation where another person hands over the vehicle. Confirm what is required, whether copies are sufficient and how any original would be acknowledged and returned.

RecordQuestion it helps answer
RC informationWhich car is moving and who is its registered owner?
Sender identificationWho is authorised to release the vehicle?
Owner or company authorisationMay this person act for the owner?
Insurance detailsWhich existing policy should be checked for the proposed transit?
Receiver detailsWho may inspect and accept delivery?
Booking acknowledgementWhich quotation and transport instruction applies?

These are preparation questions, not a statement that every listed record is a statutory requirement for every cargo movement.

Keep NOC and registration questions separate

The official Parivahan NOC guidance describes an application under section 48 using Form 28 and lists supporting records for that process. It concerns vehicle registration formalities; the carrier’s collection checklist serves a different purpose.

Explain your actual plan to the relevant transport authority: a temporary move, longer relocation, sale or registration change. Confirm what applies to the vehicle and jurisdiction. Do not assume that sending a car on a carrier either completes an RTO process or removes an obligation. Equally, do not describe every transport booking as the same ownership-transfer transaction.

Financed, company-owned and recently purchased cars

If the car is financed, ask the financier and relevant authority whether the proposed transaction needs consent or additional paperwork. Use the actual purpose of the move when asking. A relocation enquiry and a sale enquiry can lead to different questions, and the carrier should not be expected to resolve an ownership discrepancy at pickup.

For a company vehicle, obtain clear authority for the person releasing and receiving it. For a new purchase, explain which registration and ownership documents have been issued. Never substitute an inaccurate declaration because a document is still pending. Ask how the booking should proceed and wait for confirmation before arranging collection.

Control originals and protect personal records

Keep originals with you unless a specific handover requirement has been explained and accepted. If any original is handed over, record exactly what it is and how it will be returned. Do not leave a folder of identity papers, invoices or insurance originals in the glovebox as an informal way of sending them.

Use verified business channels for documents and ask why an unexpected record is needed. Do not share OTPs, account passwords or payment PINs for transport verification. Remove unrelated personal data from the car, including loose documents and saved information where appropriate. Follow your vehicle manufacturer’s instructions when changing access settings or connected-car permissions.

Complete the condition and shipment records

A document folder is incomplete without the handover record. Photograph the car before loading, note existing marks and dashboard warnings, and record the odometer, visible fuel or battery level, keys and accepted accessories. Keep the collection acknowledgement and LR or shipment reference if issued.

  • Match vehicle, owner and booking details.
  • Confirm the authorised sender and recipient.
  • Keep copies of requested records ready.
  • Check RTO questions separately where applicable.
  • Retain photographs, receipts and both handover records.

Share the relevant pickup record with the recipient for the delivery inspection. Read car preparation before transportation and enquire through Car Transportation or Get a Quote with both PIN codes.

Common questions

Is an NOC required for every car shipment?

Confirm the relevant registration formalities with the transport authorities using your actual circumstances. A carrier booking checklist does not establish a universal NOC rule.

Should I give the transporter my original RC?

Ask whether a copy is sufficient. Agree a clear acknowledgement and return process if an original must be handed over.

Can a driver release a company car?

Confirm the company’s authorisation and the provider’s identity requirements before pickup.

Does car transport include registration transfer?

Only rely on a separately described and agreed service. Carrier transport alone does not complete registration or ownership formalities.
