How to Choose a Shipping Partner for Your Online Store

Evaluate a shipping partner against your products, parcels, destinations and customer promises. Verify the actual service instead of selecting only a low headline rate.

Before you get started

  • Compare providers using the same seller brief.
  • Verify identity, scope and payment instructions.
  • Review how exceptions and records are handled.

Create one brief for every provider

Describe the product categories, normal order combinations, packed dimensions and weights, dispatch address and destinations. Include monthly volume, peak periods and readiness times. Tell the provider about fragile goods, unusual shapes or acceptance questions before requesting a quote.

Share the same brief with each candidate. Otherwise one quote may assume small standard cartons while another has reviewed your larger mixed orders. Separate actual shipment history from future forecasts so the proposed arrangement is based on a realistic profile.

Verify the business and payment channel

Check the provider’s recognised website, contact details and name on the quotation. Verify unexpected payment instructions through a contact obtained independently from the business. A familiar logo or knowledge of your enquiry is not enough to confirm a caller’s identity.

Keep the accepted quote and receipts with your account records. Do not share store administration passwords, payment PINs or OTPs as an informal onboarding step. If integration is proposed, review the actual access and authorisation process separately rather than handing over a general-purpose login.

Ask how the service handles your normal day

Confirm pickup locations, parcel readiness cut-offs, handover counts and the shipment references provided. Ask which destinations are supported for your goods and what proposed delivery expectations apply. Find out how tracking information is made available and who answers a specific shipment question.

Where you need COD, reverse pickup, marketplace support or store integration, ask for an explicit scope. A service page mentioning e-commerce does not establish that every facility is included. Read the e-commerce logistics guide to map your requirements before the discussion.

Review the exception process

SituationQuestion for the provider
Incorrect addressHow is a correction verified and communicated?
Unsuccessful attemptWhat information and next-action options are available?
Damage concernWhich records and reporting process apply?
Customer returnIs the requested reverse service agreed and how is it authorised?
Billing differenceHow are measurements and approved changes reconciled?

A low rate does not explain these operational details. Identify a recognised escalation contact in both businesses and keep order and shipment references consistent.

Review representative orders before scaling

Where agreed, use representative shipments to assess the process: parcel preparation, collection acknowledgement, communication and receiving outcome. Include the package types that matter to your store rather than choosing only the easiest order. Review the records without treating one good result as a guarantee for every destination.

Track practical causes of problems. Wrong product variants, poor packing and incomplete addresses need different corrective actions from a transport exception. The RTO guide and packing guide help identify issues inside the seller’s own operation.

Agree commercial terms and review changes

Confirm the charging basis, dimensions, weight bands or minima, taxes and optional services. Read payment and any account terms separately. If the parcel profile, commodity or routes change, request a review rather than assuming the initial quotation covers the new work.

  • Goods and destinations are accepted.
  • Pickup and tracking arrangements are clear.
  • Additional facilities are explicitly confirmed.
  • Exception and billing contacts are identified.
  • Measurements, terms and receipts are retained.

Common questions

Should I choose the lowest per-parcel price?

Compare the same parcel profile, destinations, scope and exception terms before deciding.

Does e-commerce support guarantee store integration?

No. Confirm the platform, functions, access and implementation requirements separately.

What should we review in an initial shipment?

Readiness, packing, handover count, references, communication, delivery outcome and invoice reconciliation.

When should we revisit the arrangement?

When goods, parcel sizes, routes, volume or required facilities materially change.
