Build your document checklist before pickup
Ask the transport provider for a written list based on your vehicle, route and ownership situation. A personally owned motorcycle, a company vehicle and a recently purchased bike can require different supporting information. Explain those circumstances while requesting the quotation rather than discovering a missing authorisation at collection.
Start a booking folder containing the quote, contact details, vehicle registration information, pickup and delivery addresses and your handover record. Keep a digital copy accessible to the receiving person. Use a clearly labelled folder so an old quotation or a previous vehicle’s document is not accidentally sent.
Vehicle and identity information to discuss
A readable RC copy helps identify the registered vehicle and owner. The team may also request sender identification, insurance information and the receiving person’s details. Check that the registration number on the booking matches the bike being collected. If the owner is not the sender, ask what written authorisation is needed.
| Record | Purpose to confirm |
|---|---|
| RC copy | Match the vehicle and registered owner |
| Sender identification | Verify the authorised handover contact |
| Authorisation | Clarify who may act for the owner or company |
| Insurance details | Discuss existing cover and any additional arrangement |
| Receiving contact | Identify the person accepting delivery |
| Quotation and booking reference | Connect the bike to the agreed service |
This is a preparation checklist, not a claim that every document is legally required for every transport booking. Confirm what applies and why.
Understand when RTO formalities need separate attention
Sending a motorcycle as cargo, selling it and changing its registration are different activities. Do not assume that arranging transport also completes ownership transfer, tax or registration formalities. Explain whether you are making a temporary move, relocating for a longer period or selling the bike.
The Motor Vehicles Act on India Code includes provisions on registration marks and no-objection certificates. Haryana Transport’s official NOC guidance provides an example of the registration-related application process. Confirm current requirements with your own registering authority and the destination authority; a transport provider’s checklist does not replace their instructions.
Financed, company-owned and newly purchased bikes
If the vehicle is financed, ask the financier and relevant authority whether your planned transaction needs consent or other documentation. Do not assume a loan automatically prevents transport, and do not assume transport permission covers a sale or registration change. Describe the actual purpose of the move when seeking guidance.
For a company-owned motorcycle, identify the person authorised to release it and the person receiving it. For a recent purchase, explain which registration and ownership documents have already been issued. Supply accurate records and resolve discrepancies before pickup. Avoid promising that missing paperwork will be provided after the vehicle has left.
Protect originals and personal information
Ask whether copies are sufficient and how any original document would be acknowledged and returned. Keep originals in your possession unless there is a clear, agreed requirement to hand them over. Do not leave documents loose inside the motorcycle’s storage compartment or a separately packed accessory box.
Share records through a verified business channel and only for a stated purpose. If a copy is annotated for the booking, keep required information readable. Never share banking passwords, card PINs or OTPs as part of vehicle verification. For unexpected requests, call a contact you independently recognise before sending anything.
Keep the pickup and delivery records together
Documents describe the booking; photographs and inspection records describe the bike’s condition. Keep both. Record keys, accessories, separately packed parts and the visible condition before packing. Obtain an acknowledgement of collection and retain the LR or other shipment reference if issued.
- Confirm vehicle and owner details before collection.
- Nominate any substitute sender or recipient in writing.
- Retain the accepted quotation and payment receipts.
- Keep condition photographs with the handover acknowledgement.
- Check any RTO obligation separately for your relocation or transaction.

Common questions
Is an NOC compulsory for every bike transport booking?
Do not treat every transport movement as the same registration transaction. Explain the purpose and duration of the move, and confirm any NOC or registration requirement with the relevant RTO.
Should I give the carrier my original RC?
Ask what is required and whether a copy is sufficient. If an original must be handed over, obtain a clear acknowledgement and return arrangement.
What if the bike is registered in a family member’s name?
Tell the provider before booking and ask for the owner’s authorisation requirements. Do not describe yourself as the registered owner if you are not.
Does the transport company transfer registration for me?
Only rely on a separately agreed and clearly described service. Booking transportation alone does not establish that RTO formalities are included.
