How to Prepare Your Bike Before Transportation

Prepare the motorcycle, its accessories and its records before packing begins. A careful handover makes the delivered condition easier to check.

Before you get started

  • Photograph condition, odometer and declared accessories.
  • Follow agreed fuel and electric-bike instructions.
  • Keep the key, document and handover records clear.

Confirm the collection plan first

Preparation starts with a confirmed pickup arrangement. Check the address, PIN code, contact person, collection window and any access restriction. Tell building security that a vehicle collection is planned and ask whether a loading area or gate permission is needed. Avoid leaving those decisions until the team is waiting outside.

Tell the provider whether the bike starts, rolls and steers normally. Mention punctures, brake problems, a flat battery or leaks. A non-running bike may need a different loading approach. If the condition changes after you receive the quote, update the team before pickup so handling can be reviewed.

Clean, inspect and photograph

Light cleaning makes scratches, dents and existing damage visible. Photograph the bike in good light from the front, rear and both sides. Add close-ups of the tank, painted panels, wheels, lights, mirrors and exposed accessories. Include a clear identification image and record the odometer, visible fuel level or battery state and any known non-working feature.

Save the original images with the date and booking reference. Share the relevant condition record with the transport team and the receiving person. A walkaround video can help explain the location of a mark, but it should supplement a written record rather than replace it. Do not photograph private documents or unrelated people unnecessarily.

Remove loose belongings and discuss accessories

Empty storage compartments of personal items, cash, documents, electronics and tools that are not expressly included in the booking. Remove phone mounts, detachable luggage and other loose accessories where appropriate, or ask the team to handle them under an agreed packing plan. Keep a list of anything sent separately.

Do not dismantle mirrors, windscreens or electrical accessories unless you know how or have arranged qualified assistance. Unnecessary dismantling can create its own damage. Ask who will remove and reattach any part, whether the work is included and how fasteners and small components will be labelled. Read the bike packing guide for the protection discussion.

Agree fuel, battery and safety instructions

Ask the carrier for its fuel requirement before collection. Do not assume a full tank is acceptable or that every provider requires the same preparation. Never include spare petrol, fuel containers, gas cylinders or other dangerous liquids with the vehicle. If there is a fuel leak, stop and arrange appropriate assistance before handover.

For an electric two-wheeler, disclose the battery type and any fault, damage or modification. Obtain instructions from the carrier and, where necessary, the manufacturer or authorised service team. Do not improvise battery removal, electrical disconnection or charging advice. Acceptance of a conventional motorcycle does not automatically mean the same arrangement accepts a particular electric model.

Do not leave the vehicle running in an enclosed area while preparing it. Any mechanical work should be done safely by someone competent to perform it.

Prepare keys, documents and the receiving contact

Agree which key will accompany the bike and how it will be recorded. Keep a spare under your control where possible. Remove unrelated house, office or locker keys from the key ring. Make sure the receiving person knows what should be delivered, including any separate accessory package.

Keep copies of the documents requested for your booking ready, and clarify whether originals are needed. Read documents required for bike transportation before sharing extra personal records. Confirm the receiving address, phone number, access and availability. A correct destination city is insufficient if the final address or authorised recipient is missing.

Use a final pickup checklist

  • Match the motorcycle and route to the accepted quotation.
  • Record existing marks and mechanical issues before packing.
  • List keys, accessories and separate packages.
  • Confirm the fuel or electric-vehicle instructions.
  • Agree any dismantling and reassembly responsibility.
  • Obtain the collection acknowledgement and shipment reference.
  • Keep a copy for the recipient’s delivery inspection.

Allow enough time to inspect and record the handover without rushing. Do not sign a blank condition sheet or an acknowledgement that describes a different vehicle. If a detail is wrong, ask for it to be corrected while the bike is still available for comparison.

Keep the accepted quotation, condition record and receipt in one folder. Where an LR is issued, follow the shipment using Track Shipment. Review the delivery checklist now so your receiver knows what to do later. Request a route-specific plan through Bike Transportation or Get a Quote.

Common questions

Should I empty the fuel tank myself?

Get the carrier’s written fuel requirement first. Do not drain fuel unsafely or pack fuel separately with the bike.

Should I disconnect the battery?

Ask for model-specific instructions. Use an authorised or competent service professional where necessary, especially for electric two-wheelers.

Can I leave my helmet with the bike?

Declare it and agree separate packing and recording if it is accepted. Do not assume a helmet attached to the bike is included or protected.

What if a new scratch appears before pickup?

Update the condition record before packing and share it with the team. The handover record should reflect the bike’s actual condition at collection.
