E-commerce Dispatch Checklist: From Order Ready to Handover

Use a repeatable release check so the correct product, address, parcel and documents leave together. Reconcile the actual collection before sending a handover update.

Before you get started

  • Release only authorised, checked parcels.
  • Verify labels, measurements and documents.
  • Reconcile actual collection before sending updates.

Confirm that the order is authorised to leave

Check the accepted product, variant, quantity and order state. Resolve cancellations, address questions and payment instructions before the parcel enters the collection area. Keep orders on hold physically or clearly operationally separate from released work.

Assign a release contact who knows the final dispatch list. During a busy period, a substitute needs the same current information. A courier arriving at the door should not be the trigger for deciding which orders are ready.

Check the item and packing

Match the picked item and accepted accessories to the order. Review visible condition and any product-specific record your process requires. Use packaging suitable for the weight, shape and vulnerability rather than choosing an oversized carton to avoid a packing decision.

Read the packing guide and keep restricted or uncertain commodities out of an ordinary dispatch until accepted. A fragile label does not replace protection. Mixed items should not be allowed to strike or damage one another inside the parcel.

Verify the destination and current label

Use the verified current address, PIN code and receiver contact. Check the label after packing so it belongs to the parcel in front of you. Remove obsolete labels appropriately and keep issued barcodes readable where used.

If an order has multiple parcels, record their count and identifiers. Do not let a second parcel leave without a link to the order. Verify requested address changes through the recognised customer process and update the relevant transport instruction before relying on it.

Finish measurements and documents

Record final gross weight and outer dimensions for every package type. Use consistent units and update the entry after repacking. Read volumetric weight for sellers for the calculation questions to confirm.

Have the responsible business team check the applicable invoice or movement record and any compliance requirement before release. Keep order, package and transport records connected. The goods transport documents guide provides a broader checklist; confirm what applies to the actual transaction rather than copying unrelated paperwork.

Reconcile the collection that actually occurs

Handover checkWhat to confirm
Released ordersOnly authorised parcels are presented
Package countCount physically collected units
ReferenceLink the accepted shipment to the order
ExceptionRecord any parcel left behind or not accepted
AcknowledgementRetain the collection record available under the service

Do not treat the planned dispatch count as proof of collection. Correct the register for a parcel that remains at your premises and tell the responsible support contact before a misleading shipped message is sent.

Close the dispatch and assign follow-up

After handover, retain the references and send an update matching the verified stage. Nominate who reviews material delivery exceptions and who reconciles charges or payment collection where applicable. Keep a return or refund decision linked to the original order but under its own approval process.

  • Correct order and release status.
  • Checked item, accessories and packing.
  • Verified address and current label.
  • Final measurements and required documents.
  • Actual collection count and acknowledgement.
  • Accurate customer update and exception owner.

Review missed checks to improve the next dispatch rather than simply adding more notifications. Use the tracking updates guide for customer messages and payment reconciliation for the financial record.
