Understand the payment distinction
In a prepaid order, the customer pays through the seller’s accepted payment process before the delivery handover. In cash on delivery, commonly called COD, an agreed collection arrangement seeks payment at delivery. The available payment methods and operating conditions must be confirmed; the label does not establish every detail.
Choosing a payment option does not remove the need for correct packing, documents, receiver details and shipment records. Keep the order’s payment type explicit before dispatch so a prepaid parcel is not treated as a collection order or a revised amount sent without authorisation.
Confirm COD availability before offering it
Ask whether the requested collection facility is available for the product, destination and order amount. Confirm permitted payment methods, collection charges, limits, settlement cycle and reporting. Explain any needs such as partial payment or an exchange rather than assuming they are supported.
For a Safemax enquiry, describe COD as a requirement to review through Business Account or Contact Us. Do not promise it to a customer until the actual facility and terms have been confirmed. A general shipping quotation alone is not approval of every payment service.
Use different records for delivery and money
Maintain the store order number, amount due, payment type and shipment reference. For an agreed COD service, connect the reported collection to the settlement statement and bank receipt. A delivery status by itself does not establish that funds have reached the seller.
For prepaid orders, reconcile the payment transaction separately from transport completion. A payment failure, refund or adjustment should remain linked to its order. Accounts and support need the same references so a customer is not told that delivered status answers a payment question.
Build a reconciliation sheet
| Record | What to compare |
|---|---|
| Order | Accepted amount and payment type |
| Shipment | Issued reference and delivery outcome |
| Collection, if agreed | Reported collected amount and adjustments |
| Service charges | Accepted freight and optional-facility terms |
| Settlement | Statement reference and actual receipt |
| Exception | Reason, supporting record and person following up |
Review discrepancies by reference and amount. Do not combine unrelated orders into an unexplained balance that neither party can trace.
Plan failed delivery, returns and refunds
An unsuccessful delivery, a customer refusal and an authorised post-delivery return are different events. Record the actual reason and agreed next action. Follow the applicable terms for reattempt or return movement rather than assuming every unsuccessful order automatically follows the same path.
Customer refund decisions and transport settlement adjustments also need separate authorisation. Do not tell a prepaid buyer that a physical return automatically completes a refund. Read RTO causes and reverse logistics to keep the operational stages clear.
Choose based on your verified process
Review your product, customer expectations, destinations and actual payment outcomes. Avoid claims that one payment type always eliminates returns or guarantees more sales. Use your own records to evaluate cost and support workload, and keep customer-facing policies clear.
- Record the payment type before release.
- Confirm any collection facility and terms.
- Separate delivery, collection and settlement evidence.
- Reconcile charges using accepted rules.
- Track returns and refunds through their own approvals.

Common questions
Does delivered status prove COD funds are settled?
No. Reconcile the collection and settlement statements with the actual bank receipt.
Is COD available on every shipment?
Do not assume it. Confirm product, destination, amount, payment methods and terms with the provider.
Does prepaid payment prevent RTO?
No. Address, availability, acceptance and other delivery issues can still arise.
Can the payable amount change after dispatch?
Do not send an informal change instruction. Ask whether a change is permitted and follow a verified, authorised process.
