Start with a clear customer return process
Explain how customers request a return and which information helps your support team assess it. Identify the order, product, reason and relevant concern without demanding unnecessary personal data. Keep the decision and next instruction in writing so the customer and receiving warehouse follow the same plan.
Publish accurate return and refund information consistent with applicable obligations. The Department of Consumer Affairs provides the Consumer Protection rules and related materials, including e-commerce rules. Review your policy for your business model; a transport arrangement does not determine all customer rights.
Confirm the reverse service before instructing collection
Ask whether the requested pickup location, product and return arrangement are supported. Agree who books the movement, provides the reference and explains packing and handover requirements. Do not tell a customer that a pickup is confirmed merely because an internal return request has been approved.
For a Safemax enquiry, describe reverse collection as a facility requiring review through Business Account or Contact Us. Confirm scope and charges before issuing promises. An accepted forward shipment does not automatically establish every reverse service.
Keep product, package and document instructions clear
Tell the customer which accepted item and accessories should be included and how to identify the order. Provide product-appropriate packing guidance rather than assuming the original packaging is intact. Do not ask someone to handle a damaged battery, leaking product or other hazardous item through ordinary parcel instructions; obtain specialist guidance and acceptance.
Have your responsible team check the documents for the return movement. The official e-way bill FAQs address sales-return situations and relevant documents. Confirm the current requirements for the actual transaction instead of assuming the outward record can always be reused.
Use a return register that follows the item
| Stage | Record |
|---|---|
| Request | Order, reason and support reference |
| Authorisation | Approved items and next instruction |
| Transport | Confirmed collection and shipment reference |
| Receiving | Package count and visible condition |
| Inspection | Contents, accessories and product assessment |
| Closure | Refund, replacement or other recorded decision |
Keep an owner for each pending stage. A returned status should not disappear into a support queue while the warehouse and accounts team wait for each other.
Inspect before making inventory available again
Reconcile the received package with the authorised return. Record visible damage, missing components and the condition appropriate to the product. Distinguish a transport concern from a product issue or a mismatch in contents using evidence.
Keep goods separate until the relevant checks are complete. Decide whether an item is saleable, needs repair or requires another approved action under your product and safety process. Do not relist a returned item solely because the outer carton looks acceptable.
Close customer, stock and financial actions separately
Tell the customer the verified next stage and the applicable decision or expected process. Reconcile any refund through the appropriate payment reference; a physical return is not proof that funds were transferred. Where a replacement is approved, connect the new order or shipment to the original return.

Common questions
Does forward shipping automatically include reverse pickup?
No. Confirm the reverse service, goods acceptance, locations and commercial terms.
Is return approval the same as pickup confirmation?
No. Keep the seller’s authorisation separate from an accepted transport booking.
Does received status mean a refund is complete?
No. Inspect and follow the applicable customer decision and payment process, then reconcile the actual refund.
Can every returned product travel as an ordinary parcel?
Declare the actual product and condition. Damaged or hazardous goods may require specialist review or may not be accepted.
