Start with your own moving folder
The documents required for packers and movers depend on the shipment and the service being arranged. A personal household move, business stock, a vehicle and an international relocation do not necessarily need the same paperwork. Begin with a folder for your quotation, item list, contacts and payment records.
Keep a digital copy you can access on your phone and retain essential originals separately. If another person is arranging the collection on your behalf, explain their role to the team and agree how their authority will be verified. Do not put your only copy of a key document inside a moving carton.
Quotation and booking confirmation
Save the accepted quotation, the service scope and any written changes. The records should identify the pickup and destination, contact details, inventory basis and the work included. Check that the date and payment terms match what you discussed.
A quotation enquiry is not the same as a confirmed booking. Likewise, a pickup reference helps identify a request but does not, by itself, establish the final transport arrangements. Ask which confirmation you should rely on and who will handle questions before collection.
Inventory and package record
Create a list of major items and identify fragile, valuable or unusual belongings. When packing is complete, a package-level record is useful: for example, carton 01 contains kitchen utensils, carton 02 contains books and package 03 is a protected side table. Avoid vague descriptions that hide contents needing special review.
Keep photographs of important items and their condition before packing. Mark existing scratches or defects so the handover record is fair to everyone. If you revise the inventory, keep the latest agreed version and tell the team what changed rather than sending several conflicting lists.
Identification and address information
Ask the provider which identity, address or authorisation information is needed for the specific service. There is no reason to circulate an unrestricted bundle of personal documents merely to obtain a preliminary quotation. Verify the recipient and purpose before sharing a document.
Where a copy is legitimately required, use a secure agreed channel and share only the relevant information. Do not give banking passwords, card PINs or payment OTPs. Recipient details should be accurate, and you should have authority to share another person’s contact or address for the delivery.
Shipment documents and declarations
Ask what goods-forwarding, consignment or LR documentation will be issued for the proposed carriage. Under the Carriage by Road Act, 2007, the legal framework includes a goods-forwarding note with declarations relating to value and dangerous or hazardous goods. The precise paperwork applicable to your booking should be confirmed before handover.
Describe the goods honestly and declare the value accurately. Business consignments may require invoices, e-way bills or other documents where applicable. Do not assume the requirements for personal belongings automatically apply to commercial goods, and do not guess a legal exemption without checking the relevant rules.
Special cases: vehicles, business goods and international moves
| Move type | Questions to ask before collection |
|---|---|
| Household belongings | Which inventory, ownership or identification records are needed? |
| Vehicle transport | Which ownership, vehicle and authorisation documents apply? |
| Business goods | Which invoice, tax, e-way bill or permit requirements apply to these goods? |
| International move | Which destination, customs and other formalities apply? |
| Insured shipment | Which policy schedule, value evidence and declarations must be retained? |
This table is a preparation prompt, not a universal legal document list. Confirm the exact requirement for the route and goods. Use our bike transport, business logistics or international moving enquiry pages to describe the relevant service.
Payment, insurance and delivery records
Keep the payment request, transaction reference and receipt together. If insurance is arranged, retain the issued policy or certificate, schedule, item/value declarations and the insurer’s contact and claims instructions. A payment receipt described as an insurance charge is not a substitute for understanding the cover.
At delivery, compare the received packages with the handover record and note any visible shortage or damage. Preserve relevant photographs and messages. Report concerns promptly and follow the applicable booking and policy requirements rather than relying on an assumed standard claim deadline.
Your final document check before pickup
- Accepted quotation and confirmed scope are saved.
- Pickup and destination contacts and PIN codes are correct.
- The latest inventory and special-item declarations are available.
- Required service-specific documents have been confirmed.
- Payment receipts and any issued insurance documents are accessible.
- A person authorised to hand over the goods is available.
- Essential originals and private documents remain with you.
Review restricted contents before packing and our moving-day checklist before collection. For a Safemax request, keep the pickup reference handy and ask our team which next-stage records will be issued.
Common questions
Is Aadhaar compulsory for every moving quotation?
Do not assume a particular identity document is required for every enquiry. Ask what is necessary for your specific service and verify the purpose and recipient before sharing it.
Is a pickup reference the same as an LR number?
No. A pickup reference identifies the pickup request. The LR or consignment reference, when issued after booking, identifies the shipment for the relevant transport and tracking records.
Do personal household goods always need the same documents as business stock?
No. Requirements can differ with the goods, purpose, route and applicable rules. Describe the shipment accurately and confirm the relevant documents.
Should I pack original documents with the goods?
Keep essential originals, identification, payment records and information you need during the move with you rather than inside an inaccessible carton.
